BOOKING TERMS & CONDITIONS

Hey there, thank you for booking to stay at The Outdoor Hotel, we hope you’re looking forwards to un-plugging from the rest of the world and getting a little closer to nature. But before you do please make sure you have read and understand our terms and conditions for your booking.

 

Booking

 

Please contact us within 24 hours if you wish to amend your booking- this will be done free of charge. Providing that your stay is more than 12 weeks away, we allow a 7-day period in which you can read and digest the Terms and Conditions- and the details regarding your chosen unit (for example, if electricity is provided or it is off-grid, the maximum number of occupants etc), after the 7 days you are deemed to have accepted our terms and conditions. For stays less than 12 weeks from the date of booking, we allow a 24hr period in which you can read and digest the Terms and Conditions- after which you are deemed to have accepted our Terms and Conditions. 

 

Payment

​

Payment for bookings can be made via our online booking system or by Credit or Debit Card or Paypal. Unfortunately, we cannot accept payment by cheque in advance or onsite.

The full cost of the stay is payable at the time of booking.

 

Prices 

​

The prices advertised are accurate at the time of booking. Prices can move up or down and The Outdoor Hotel reserves the right to do so. Customers are advised to check the website for the most up to date information including our latest promotions, deals and discounts. The prices are based on a daily rate unless otherwise stated. Prices include VAT at the current prevailing rate.

Prices do not include any additional services, features and facilities unless expressly stated.

Promotions, deals or discounted offers are provided at the discretion of The Outdoor Hotel. All offers are subject to availability and cannot be used in conjunction with any other offer or discount and may be withdrawn at any time. Retrospective refunds are not permitted against any offer or promotion advertised after such time a booking is made.

Cancellation Policy

​

Any cancellation made by the customer for any reason must be made in writing (by letter or email) directly to The Outdoor Hotel, Low Auldgirth Steading, Auldgirth, Dumfries, DG2 0XJ

From your stay date.

90 + days - Full Refund

90 to 30 days - 50%* 

30 - stay date - No Refund

​

*We will do our best to fill your dates in this circumstance. If we do, we will offer a Full Refund.

If you leave early for any reason The Outdoor Hotel will not issue any refund for unused nights.

​

Unfortunately, in some circumstances, The Outdoor Hotel may have to cancel your booking. In these circumstances, we will offer you a full refund of any fees paid or the option of an alternative date. No other compensation is available.

​

If you want to amend your booking, you must notify The Outdoor Hotel within 7 days of booking your stay. Based on availability and the request The Outdoor Hotel will do their best to accommodate any changes but cannot guarantee this.

​

We strongly advise that guests take out a travel insurance policy.

​

Services, Features, and Facilities

​

Our website confirms all the services we provide and the local area offers.

​

The Outdoor Hotel offers electric showers, eco-toilets, outdoor cooking, fire pits, and a farm walk.

​

We can also provide information about local activities and offers, which can be booked directly with the providers.

​

You use these services, features, and facilities at your own risk and The Outdoor Hotel shall have no responsibility for loss, damage or injury in relation to any services, features or facilities provided or supplied by us or third parties.

​

Information about features, facilities, and services, is, to the best of our knowledge and belief, accurate at the time of publication, however, The Outdoor Hotel cannot guarantee that these services, features, and facilities will be available during your holiday.

​

All information on the Website regarding pricing is accurate as at the time of publication but may be subject to change. 

​

Arrival & Departure

​

Guests are welcome to check-in between 3pm and 8pm. If you will be arriving earlier than this and would like to offload your luggage so you can explore, please let us know and we will make arrangements for safe storage.

​

So that the property can be thoroughly cleaned and prepared for the next arrival, departure time is 10.30 am. 

​

Occupancy

​

The number of persons occupying the property must not exceed the maximum number stated on the booking.

​

Information about you

​

By providing us with your personal information you consent to our processing your data for our own in-house data analysis. We will only use the information that you provide to us for the purposes contemplated in these Terms, informing you about similar services which we provide (unless you tell us that you do not want to receive this information) and improving the services which we offer to customers.

​

Our online booking and payment systems which store your data are password encrypted to protect your personal information from access by unauthorised persons and against unlawful processing, accidental loss, destruction, and damage. We may retain your personal information after we have ceased using it for the purposes set out in these Terms, or for as long as the law requires.

​

Care of Property

​

Guests are asked to leave the property clean and tidy. Accidents happen, we ask that any breakages or damage (accidental or otherwise) should be reported immediately to The Outdoor Hotel. Failure to do this may result in you being charged for any breakages or damage. Any missing inventory from the property on your departure will be charged. 

​

Fireworks & Sky lanterns

​

Fireworks and sky lanterns are not permitted at any time. The Outdoor Hotel is situated on a working farm and both Fireworks and Sky lanterns can cause physical damage and distress to our livestock.

​

Smoking

​

Smoking is not permitted in any of our properties. Smoking is allowed only in open-air areas. All cigarette butts must be disposed of appropriately. A flat fee of £250.00 will be charged to cover any cleaning expenses if there is any smoking within the property. 

​

Drugs


The Outdoor Hotel has a strict zero tolerance policy on drugs and any illegal substances. If any guest is found to be under the influence, the booking will be terminated with immediate effect and the police will be notified.

​

Internet Access

​

There is no guaranteed wifi. We encourage guests to disconnect to reconnect. 

​

Mobile Phones

​

There is a mobile phone signal on the farm steading for most mobile networks.

​

Log burning stoves, fire pits and BBQ’s

​

Fire pits, Woodburning stoves, Outdoor Ovens and BBQs are used entirely at the guests own risk. Please ask if you would like a fire lighting tutorial. All of our accommodation is supplied with logs, firelighters, and kindling that should see you through your stay. (additional wood is available to purchase, just get in touch if you need more during your stay).

Carbon Monoxide Monitors

​

All accommodation units are fitted with carbon monoxide monitors, under no circumstances are you permitted to remove the monitor from your accommodation or remove the batteries from the monitor preventing it from working. If the carbon monoxide monitor sounds its alarm at any time shut the fire down, vacate the property and contact a member of staff for assistance.

 

Candles

Using candles within the accommodation is done so entirely at the guests own risk, and candles must be supervised at all times. All damage caused by use of candles will be chargeable to the guest. 

 

Dogs & Pets

​

Dogs are not currently allowed on site.

​

Liability

​

The Outdoor Hotel will not be held responsible for any loss or damage to guests’ personal property vehicles etc. whilst visiting The Outdoor Hotel. 

​

Noise

​

Excessive noise or partying will not be tolerated and will result in ejection from the property. 

​

Keys

​

There will be a £25.00 charge should a guest lose or damage keys. Failure to return keys on departure could also incur the same charge. 

​

The Site

​

The site must be returned in the same state it was found. If The Outdoor Hotel staff are required to do additional cleaning above and beyond regular site cleaning and changeovers you will be charged additional cleaning fees.

​

The site has open water, steep hill sides and rugged terrain which represent potential hazards. It is your responsibility to behave with due care and consideration on-site at all times. The Outdoor Hotel will not be held liable for any damage or injury caused on site due to risky or reckless behaviour.

​

As the person booking the stay, you are responsible for the behaviour of all members of the party whilst on the site.

​

Any wilful damage to the site or any other Outdoor Hotel property will result in you being asked to immediately leave the site. If you are asked to leave under these circumstances, no monies will be refunded.

​

Our customers visit The Outdoor Hotel to enjoy the peace and tranquillity of the natural rugged environment. If anyone does not respect this, the site Manager and their team reserve the right to refuse them admission or ask them to leave the site at any time. If you are asked to leave under these circumstances, no monies will be refunded.

​

To respect the enjoyment of others, we ask that noise levels are kept to a minimum after 10:30 pm. No music is allowed on site after 10.30 pm. Fire pits are permitted in the areas detailed on-site. These are to be used with caution by yourself and your guests. Fire safety information will be provided on-site and must be adhered to at all times.

​

You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings, and effects, in or on the property. You must leave them in the same state of repair and the same clean and tidy condition at the end of the rental period as at the beginning. You undertake the leave the property secure if left unoccupied during the period of let. You must not use the properties for any dangerous or offensive activities.

Circumstances beyond the control of The Outdoor Hotel - (Force Majeure) 

​

If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property (“force majeure “) you will be refunded the full amount of the booking. 

If we have to terminate your stay early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. This will be the full extent of the liability of The Outdoor Hotel. No additional compensation, expenses or costs will be payable. 

Insurance

​

The Outdoor Hotel strongly recommends that you take out full insurance to cover your holiday in all circumstances- from your own cancellation to Force Majeure.

 

Gift Vouchers

​

  • Vouchers are valid until 31/12/2021. 

  • Vouchers are priced at as an introductory offer of £70 per night with a minimum stay of 2 nights.

  • The Outdoor Hotel does not offer refunds for vouchers.

  • Vouchers must be redeemed within the period of voucher validity. 

  • Vouchers are only redeemable for The Outdoor Hotel stays including breakfast packs and provisions.

  • Vouchers may not be used for the marketing of any other brands or businesses without written approval by The Outdoor Hotel.

  • It is the purchaser’s responsibility ensure that the recipient of the voucher is aware of the Terms & Conditions that apply to the voucher.

  • Multiple vouchers may be redeemed in the same transaction up to the value of the stay being purchased.

  • Vouchers cannot be exchanged for cash.

  • Expired vouchers will be treated as void and are non-exchangeable and non-refundable.

  • Vouchers cannot be returned or refunded, except in accordance with your legal rights.

  • The guest is free to request their preferred date within the voucher validity period, however, it is dependent on availability. To avoid disappointment, we recommend that guests book well in advance. The Outdoor Hotel may occasionally be able to fit in a booking at short notice. We recommend booking as early as possible We strongly advise that you do not make any travel arrangements until you have received confirmation of your booking. Once a date has been booked with us your voucher will be deemed to be used at that point.

  • Extension to the voucher validity period may be considered under exceptional circumstances and will be considered on a case-by-case basis.

  • By purchasing a voucher, you are agreeing to be bound to these Terms & Conditions.

  • VAT – All products and services shown are inclusive of VAT.

 

The Outdoor Hotel Events and Courses

We are so happy that you have booked onto one of our events at The Outdoor Hotel. Please take the time to read our Terms and Conditions below.

​

Dietary

 

If you are booked on to attend a food related event, we ask that you provide your dietary requirements as soon after booking as possible, but at the latest of 7 days prior to the event to ensure that we can cater for your needs. 

​

Cancellation

 

Full refunds if cancelled before 14 days of the event.

50% refund if cancelled within 14 days of the event but more than 7 days. 

No refund if cancelled less than 7 days before the event. 

​

Liability 

​

The Outdoor Hotel accepts no responsibility for loss or damage of property, vehicles or vehicle contents belonging to guests during their stay or time at The Outdoor Hotel. 

​

Disclaimer

​

Attending a Course or Event on a Farm can be dangerous. Although every care is taken in managing the various facilities such as fire pits, wood burning stoves and ponds, - and ensuring the courses and events are run and managed in a safe way, The Outdoor Hotel cannot be held responsible for any loss or damage arising from any misadventure associated with your time at The Outdoor Hotel.
